This thread is to provide instructions on sending Welcome emails and Ranger / Jury Pool eligibility emails to newly registered members, as well as coordinating the emails with the Mayor. The Rangers and the Mayor should check this thread on a regular basis to verify that the emails have been sent.

Instructions for sending Welcome emails to new Members

1. The Mayor will check the thread in the Forum Management forum titled LIST OF NEW REGISTRANTS AND INSTRUCTIONS FOR PROCESSING on a weekly basis to put together a list of new members to receive the Welcome email. The list of new members in that thread will tell the Mayor which members have been activated and added to the proper groups. Members who are not activated or are RP characters should not be sent the email.

2. The Mayor will make a post in this thread with the list of new members to receive the email.

3. The second post in this thread contains a roster of Rangers showing whose turn it is to send the emails. The Rangers will update this roster on a regular basis as new terms begin for new Rangers. If a Ranger is unable for any reason to do their turn, he or she should make arrangements with another Ranger to do so.

4. The Ranger whose turn it is to send the emails should log into the Administration panel to find the email addresses of the members. Under “User Admin” click on “User list”. Go to the last page of the User list - this will show the most recent members. Next to each members name click “Open/Close” - this will show the members email address. Make a list of all of the applicable addresses. (An easy way to do this is to highlight and copy the addresses and paste them into a text file.)

5. The Ranger should go to the Mayor’s Yahoo email account. The password for this account can be found in the Sensitive Information forum.

6. From the Yahoo mail box click on the “Draft” folder. This contains the form letters for all of the emails. Click on the one titled “Welcome to Board77!.”

7. In the “To:” address box enter “Mayor_b77@yahoo .com.” Click on “Add BCC” above the address box. This will open a new address box labled “BCC.” This is the Blind Carbon Copy box and allows multiple addresses to be entered without the recipient being able to see them. All they will see is the Mayor_b77 address. Paste all of the addresses into this box, putting a comma between each one.

8. Click send.

9. After the mail has been sent move it to the “Archive - sent” folder. Click on the “sent” folder, check the box next to the sent mail, click move and pick “archive - sent”

10. Post a confirmation in this thread to let the Mayor know you have sent the mail.

Instructions for sending Ranger and Jury pool eligibility emails to Members

1. The Mayor will post a list of members who are to receive Ranger pool and Jury pool eligibility emails in this thread on a weekly basis.

2. The Ranger whose turn it is to send the mails (from the roster in the second post of this thread) will do so.

3. Follow steps 4 - 10 in the instructions above. For step 4 you will need to find the individual members in the users list - they will not be on the last page anymore. For step 6 select the appropriate form letter from the “Draft” folder in the Yahoo mail box.

Roster of Rangers for sending emails

The following is the roster for Rangers to take turns sending the emails. The Rangers will need to update this roster on a regular basis as new Rangers begin their terms.

If for any reason you cannot perform this duty when it is your turn, please contact another Ranger to do so.

Roster

26 September -> Rowan
3 October ->tinwë
10 October ->TED
17 October -> Rowan
24 October -> Holby
31 October -> Rodia
Nov 7- Jnyusa
Nov 14 - MariaHobbit

tinwë’s, Rowan's and TED’s term end on 31 October. The new Rangers will be added for the term beginning in November.

I'm not precisely sure how to do this. On 27 September 10FtTall, Erinhue, S_O, Tinsel_the_Elf, TheMary, and jeanelf are eligible to join the jury, mediator, and loremaster pool. On 28 Sept DaMuzikMan is eligible and on 30 September fras is eligible.

Considering with these pools it doesn't matter who signed up first, I would think it would be okay to send all these emails at once. (Now Ranger emails will be a different story I think because the order one enters the pool does matter a bit.) If one of our Loremasters doesn't believe it would be okay to send all these emails at once, could you please speak up? Thanks. :)

Madame Mayor and all the Rangers - things are going bee-yoo-tifully!!


Just butting in on one thing - on the bulk emails for Jury duty (and Ranger duty when that comes around ) - we had a bulk sign-up once before and I put people into the pool in the order in which they responded. Usually people don't all respond at once, so that puts them in some kind of order for you.

I've updated the roster, and sent the Welcome e-mail to Katren.

However, for some reason, the drafts for the letters have turned into a HTML mess (at least on my computer), and I don't have time right now to correct them so, the rest of the letters will be sent tomorrow after I've checked that they are all right.
